Collaborative Process

From deciding which package best fits your needs to onboarding, we'll be with you every step of the way.

Step 1 - Book a Collaborative Call

Complete our pre-call questionnaire and book a 15-minute call. On the call, we’ll discuss your business needs, priorities, and goals, and ensure we’re the right fit to provide t he tailored support you need.

Step 2 - Proposal & Candidate Selection

After our call, we’ll send a customised proposal along with profiles of suitable Virtual Assistant candidates for your business. You can review and select the candidate(s) who best match your needs.

Step 3 - Onboarding & Start Working

Once your candidate is selected, we’ll guide the onboarding process, ensuring your VA is set up for success and your workflows are aligned. From here, your VA starts supporting you while our team continues to provide guidance and support as needed.

Do I get to choose my VA?

Yes. For dedicated packages, you’ll meet and select your preferred VA from our shortlisted candidates, all of whom have been pre-screened, skills-tested, and onboarded by our team.

Our VAs work within normally business hours and adapt to your preferred time blocks for communication and task delivery. This ensures real-time collaboration and responsiveness throughout your workday.

You’ll have:

  • Start and End of day updates
  • Dedicated Google Meet Channel for quick and easy collaboration and communication

Yes, we require a 90-day minimum commitment for all packages. This ensures stability for both you and your VA, and gives enough time to build strong systems and relationships.

We’re not a “set and forget” agency. We combine personalised service with strong systems and structure to set both you and your VA up for success.

Yes! You can upgrade your plan at any time. Whether you need an extra 10 hours a week or an additional VA, we’ll scale your support as your business evolves.

We take data security seriously. All VAs sign confidentiality and non-disclosure agreements before starting, and client access is managed through a secure password-sharing tool, LastPass.

We guide you through it! During onboarding, we’ll show you how to prioritise, brief, and assign tasks clearly. You’ll also have access to a dedicated task tracker, making it easy to manage what’s in progress, completed, or upcoming, so you always know where things stand.

We understand business can be seasonal or unpredictable. You can pause or adjust your plan with a minimum of 30 days’ notice after your 90 day contract has finished.

All plans are billed monthly in advance. The Collaborative Agency. will invoice you directly, and payment can be made via direct debit or credit card. Billing remains consistent for easy cash flow management. If you upgrade or adjust your plan mid-month, we’ll simply pro-rate the difference.
